The Office Assistant will be responsible for providing administrative support and assisting with various office tasks. The primary duties will include maintaining staff accounts, settling costs on balance sheets, assisting the senior marketing department, generating Excel reports, data entry, monitoring attendance, and printing daily reports. The ideal candidate should be detail-oriented, organized, and proficient in office management tasks.
Responsibilities:
1. Follow up with field representatives:
- Assist in coordinating and following up with field representatives.
- Communicate with field representatives to gather information and updates.
- Support the senior in the marketing department by facilitating effective communication between the office and field representatives.
- Maintain records of field reports and ensure timely submission by field representatives.
2. Generate Excel reports:
- Create and update Excel spreadsheets with relevant data.
- Analyze and organize data to generate reports as required.
- Ensure accuracy and completeness of information in the reports.
3. Data entry:
- Enter and maintain data in various systems and databases.
- Verify data for accuracy and resolve any discrepancies.
- Perform regular data backups to ensure data integrity.
4. Maintain staff accounts:
- Update and manage financial records related to staff accounts.
- Track expenses and reimbursements
- Ensure accuracy in recording financial data.
5. Attendance monitoring:
- Monitor and maintain attendance records of employees.
- Prepare reports on attendance, leave balances, and overtime.
- Coordinate with the HR department regarding attendance-related matters.
