- Facilities Management
- Responsible for preserving the good condition of infrastructure and ensure that facilities are safe and well-functioning
- Facilitate Comprehensive Annual Maintenance for Air conditioner at HO, Water purifier and CEO Office garden
- Purchase of Capital (AC, microwave, induction, refrigerator, office chairs etc.) and non- capital items (hand dryer, back rest, emergency lights etc) for Head Office
- Repair and Maintenance
- Monitor and execute timely Repair and maintenance of existing fixed assets in Bajaj Allianz House
- Plan and facilitate renovation work for the upkeep and improvement of the existing structure
- Follow the seat matrix and create adequate workstations based on requirement at HO
- Store management
- Scrap damaged Capital Assets and non usable items which are non-Repairable
- Document and maintain floor wise work station and cabin allocation and update the same from time to time.
- P2P- Billing and Purchase Orders
- follow-up with all the service providers to submit the bills on time along with all the supportive documents i.e. statutory compliance / service reports / delivery chalans duly signed by concern authorities
- check the bills of all the service providers to ensure bills are as per the rates mentioned in the agreement and as per the attendance / service reports / delivery chalans signed by concerns
- Create Purchase Order for HO in P2P Module
- Create Vendor advance and Goods Receipting request for HO in P2P module
- Submit provisions for all pending bills of service providers on time
- Physical Asset Verification
- Conduct Physical Asset Verification in Head Office for various assets (like- Chairs, Air Conditioner, Air Purifier, LCD Projectors, Work Stations, Cupboard – Wooden-Storage, Fire Extinguishers, Microwave Oven, Pedestal Fan, Wall Mounting Fan, Water Cooler, Water Dispenser, Iron Rack, White Board, Water Purifier, Vehicle, white Boards, Cash Box, etc.) in Bajaj Allianz House on a monthly basis
- CEO Office responsibilities
- Ensure Travel arrangements (flight, hotel & Cab booking) for CEO from time to time
- Maintenance of CEO cabin
- Arrange lunch and snacks for CEO office and clients
- Purchase Frames & Dispatch Work for CEO Office
- Coordinate and arrange visa, forex and passport work for CEO for international travels
